Role Summary:

As a Project Coordinator, you will be responsible for facilitating and overseeing the successful delivery of a variety of projects across Babington's apprenticeship division. Your role will involve supporting the planning, coordination, and execution of projects ranging from product development initiatives to broader strategic goals. Working closely with the Strategic Project Director and the PMO/Product Development team, you will play a vital role in ensuring that projects are delivered on time, within scope, and according to PMO standards and methodologies.

Key Responsibilities:

  • Support Project Planning: Assist in the development and refinement of comprehensive project plans, timelines, and workflows. You will work in collaboration with the Strategic Project Director, PMO, and Product Development team to ensure project objectives are clearly defined and achievable within the allocated timeframe.

  • Report Generation: Create and distribute regular reports that provide updates on project progress, key performance indicators, and milestones. These reports must adhere to the high standards set by the PMO, providing clear insights into the status and direction of each project.

  • Coordinate Project Activities: Oversee the coordination of all project activities, including managing resources, equipment, and project information. This will involve ensuring that all tasks and responsibilities are carried out in line with PMO methodologies and best practices.

  • Track Project Progress: Utilize project management tools to track and monitor the progress of each project. You will be responsible for ensuring that all milestones, deliverables, and timelines are met while identifying and addressing any potential delays or obstacles.

  • Ensure Team Alignment: Facilitate collaboration across departments and teams, ensuring that everyone involved in a project is aligned with the overall objectives and understands their role in achieving success.

  • Manage Resources Effectively: Ensure that all necessary resources, including personnel and equipment, are in place for the successful execution of project tasks. You will work to balance workload distribution and ensure that all teams have the support they need to meet deadlines.

  • Problem-Solving and Decision-Making: Assist in identifying and addressing project issues, risks, and challenges as they arise. You will work with the team to find solutions and ensure that the project continues to move forward without compromising on quality or objectives.

  • Maintain Communication: Act as a point of contact for the project team, keeping everyone informed and engaged. This will involve liaising with stakeholders, reporting on progress, and ensuring open lines of communication throughout the project lifecycle.

  • Adhere to PMO Standards: Ensure that all project work is carried out in line with Babington's Project Management Office (PMO) standards and methodologies, including Agile principles where appropriate. You will support continuous improvement within the PMO by adhering to best practices and contributing to the refinement of processes.

Skills and Experience Required:

  • Project Coordination Experience: Previous experience in project coordination, particularly within a Project Management Office (PMO) or similar fast-paced environment, is essential. You should have experience working on multiple projects simultaneously and be comfortable managing shifting priorities.

  • Strong Organisational Skills: The ability to manage competing deadlines and tasks, while maintaining high levels of accuracy and attention to detail. You will need to juggle multiple deliverables and ensure all projects stay on track.

  • Excellent Communication Skills: The role requires confident, clear, and effective communication. You must be able to liaise with multiple stakeholders, including senior management, colleagues, and external partners while fostering a collaborative working environment.

  • Adaptability and Resilience: In a dynamic environment where priorities can shift quickly, you must demonstrate flexibility and an ability to remain calm under pressure. The ability to adjust your approach and pivot in response to changing circumstances will be crucial.

  • Problem-Solving Ability: Confidence in questioning assumptions and addressing challenges collaboratively is important. You will need to take a proactive approach to identify issues, understand their root causes, and implement solutions that benefit the project.

  • Project Management Knowledge: Familiarity with project management processes and methodologies, including Agile, would be beneficial. You should have experience using project management tools to track progress and support the team in delivering outcomes.
