Job Title: Mail Room Operator


Place: Leeds (in person)


Type of contract: Indefinite


Compensation: £11.44 per hour; in addition to extensive company perks, a wide-ranging flexible benefits program, and 2 days a year for volunteer work paid by the company


Shift: Part-time: 10:00 AM to 2:00 PM, Monday through Friday.

Role purpose:


The Mail Operator role is the foundation of SCC Document Services' managed service operations. The person in this position will complete different tasks linked to the Receipting/Delivery & Dispatch role and will promptly meet any client needs as needed.

Key responsibilities:


  • The individual in this role is expected to maintain a high level of professionalism when interacting with clients and actively represent SCC Document Services in a positive light, focusing on delivering outstanding customer service.

  • Handling customer inquiries in person and over the phone.

  • Ensuring quick and professional monitoring, acknowledgment, and response to both generic and business email accounts.

  • Scheduling and receiving courier packages according to client requirements, company protocols, and specified SLAs.

  • Make sure that the computer systems on the Site provide an exact representation of the items present on the site.

  • Continuous monitoring is carried out on databases at the site to ensure adherence to regulations.

  • Ensuring the security of all items in our possession, notifying Line Management of any vulnerabilities.

  • Organizing and accessing paperwork, using a pre-determined filing structure.

  • Make sure to collect and distribute all mail and courier items correctly using the appropriate systems, as well as sorting and delivering mail and parcels.

  • Digitizing and uploading mail into clients' data systems.

  • Making sure that all items are moved following manual handling guidelines.

  • Providing advice and direction to new staff regarding site practices and protocols.

  • Making sure all health and safety rules are followed and employees follow the guidelines, reporting any worrisome issues.

  • To provide frequent updates to site management regarding any issues or ongoing priority tasks.

  • Additional responsibilities as requested by site supervisors.
