To enhance the quality of patient care, we are planning to expand our administrative team by hiring a booking officer, who will be responsible for overseeing patient appointments and ensuring efficient service delivery.


Job Title: Reservations Coordinator


We are in search of a personable yet meticulous Bookings Officer to become part of our vibrant administrative team. The successful candidate will primarily operate remotely, with occasional visits to our main office in Betteshanger. Additionally, travel to our sites in Margate, Ashford, and Canterbury may be required from time to time. This pivotal role ensures that our patients experience a smooth and positive journey from the moment they schedule their appointment to their visit to the hospital.

Key Responsibilities

  • As a Bookings Officer, you will serve as a vital liaison for patients, facilitating the seamless scheduling of their appointments across our hospitals. Your primary responsibilities will encompass:

  • Managing Patient Bookings:

  • Oversee the coordination of outpatient, pre-assessment, and inpatient appointments for self-pay, NHS, and privately insured patients.

  • Engage with patients to verify appointment specifics, ensuring their requirements are addressed promptly.

  • Manage appointment cancellations or rescheduling, optimizing the schedules of consultants.

  • Collaborate closely with consultants from various specialties to ensure efficient booking processes for all clinics and appointments.

  • Providing Outstanding Customer Service:

  • Offer exemplary customer service to all patients, both via telephone and email, maintaining a professional and compassionate demeanor.

  • Act as the initial point of contact for patient inquiries related to their appointments, delivering clear and timely information.

  • Exhibit a positive telephone demeanor and respond attentively to patient needs, providing a reassuring and friendly experience.

  • Administrative Support:

  • Ensure accurate documentation of patient appointments and keep all relevant booking information current in our systems.

  • Utilize our hospital management software to schedule and monitor bookings, safeguarding patient data in compliance with GDPR regulations.

  • Work with the broader administrative team to promote effective communication and workflow across departments.

  • Prepare reports for the Bookings Manager to highlight trends, performance indicators, and opportunities for enhancement.

  • Working in a Dynamic Environment:

  • Adjust to the fluctuating demands of the business, ensuring efficient performance under pressure during peak times.

  • Manage multiple booking requests simultaneously, completing all tasks within established deadlines.

  • Demonstrate flexibility to meet the business's needs, assisting with additional tasks or projects as directed by the Bookings Manager or Administration Team Lead.
